Everything You Need to Know About Hosting at Innovation Week

All Innovation Week events should take place within Calgary between November 3rd and 6th, celebrate themes of tech and innovation related, follow the Code of Conduct and be FREE for attendees to enjoy.

To be included in the official Calgary Innovation Week calendar on the Huddl app, all events must first be submitted through our Event Request form.

  • This year, programming and content is organized as` audience-first daily structure.

    • Monday Focus: Founders & Startups

    • Tuesday Focus: Tech Talent, Job Seekers, and Carers

    • Wednesday Focus: Industry & Investors

    • Thursday: YYC Tech Crawl & Launch Party

    Here are a few event ideas:

    Expertise: Does your event offer valuable skill-building or impactful learning for attendees?

    Industries/Topics: Focus on trending or timeless topics, and highlight thriving tech industries in Calgary.

    Format: Align your event with skill-building, storytelling, or inspirational themes. Where does your event fit?

    Presenters/Panels: Showcase diverse perspectives and the expertise of your panelists.

    Audience: Define your target audience and tailor the content to their experience level. Which day does your event fit?

    • Developing, delivering event content, and recruiting speakers

    • Securing a venue + coordinating logistics.

    • Costs associated with hosting your event.

    • Promoting and filling your event using the Promotional Kit provided by Calgary Innovation Week. 

    • Submitting your event to the Calgary Innovation Week Calendar here.

    • Make sure event abides by theSafe Spaces Policy & Code of Conduct

    • Reviews and approves event submissions to be posted to the Calgary Innovation Week Calendar

    • Uploads your event to the official Innovation Week calendar using the Huddl App.

    • Promote vetted events in the lead up to and during Innovation Week

  • Submit your event proposal through the Calgary Innovation Week 2025 Offsite Community Programming Request Form

    Once Submitted a member of the Calgary Innovation Week team will review and follow up with next steps.  

    Approved events will be added to the official Calgary Innovation Week Calendar app using the information submitted through the proposal process.

  • Yes — while we’d love to host everyone at the Platform Innovation Centre, space is limited and we’re unable to accommodate every community event onsite.

    That said, the vision for Calgary Innovation Week is to activate venues across the city — creating a truly city-wide celebration that reflects the diversity, reach, and energy of Calgary’s innovation ecosystem.

  • You will need to submit a cancellation request so the event can be removed from the Huddl Calendar App.

  • We ask that all community event hosts use the unique QRCode provided to you by us to check in through the Huddl App.

    This helps track and report on the impact of this city-wide activation to key stakeholders and official event partners.

    • Event Title: Make it catchy but concise! 

    • Be Clear and Direct: Focus on the key details—what the event is, who it's for, and why it matters. Avoid unnecessary jargon or long sentences.

    • Highlight Value: Showcase the main benefit or takeaway for attendees in one or two sentences. Make it clear why they should attend.

    • Use Actionable Language: Encourage participation by using active, engaging language (e.g., "Join us for," "Discover," "Learn how"). Keep the tone inviting and straightforward.

    • When drafting your event proposal, remember that free events often face attrition. Set your capacity and registration cap accordingly to account for potential drop-offs.
